Administrative Assistant/Bookkeeper

Job Description: We are seeking a versatile and detail-oriented Administrative Assistant/Bookkeeper to join our team. The ideal candidate will be responsible for a combination of administrative tasks and bookkeeping duties, ensuring the smooth operation of our office and accurate financial record-keeping.

The individual should enjoy working independently and as a part of a team.  The individual must be detail oriented, organized and possess excellent written and oral communication skills.

Essential Functions & Responsibilities:

  • Monitor weekly, monthly & quarterly reports as requested by all departments

  • Maintain and update financial records, including ledgers, accounts payable/receivable, and payroll.
  • Reconcile bank statements and ensure the accuracy of financial transactions.
  • Assist with tax preparation, scanning and filing
  • Process 1099s, Tax Returns, Extensions, notices

  • Support office staff and executives with operational tasks

  • Sorting, delivering, and handling incoming/outgoing mail and shipments.

  • Perform general administrative duties, including answering phones, managing emails, and scheduling appointments.
  • Handle client inquiries and provide excellent customer service.
  • Support the accounting team with various tasks as needed.

Qualifications Required:

  • 3+ years of experience in a professional office environment (preferable in an Accounting Firm)

  • Proficient skills in Quickbooks, Microsoft Word, Excel, Outlook and Adobe Suite

  • Well organized with flexibility and ability to effectively balance the handling of multiple assignments and tasks.

  • Ability to adapt and learn new software quickly

  • Successful candidate must be detail oriented and able to handle multiple tasks simultaneously in a dynamic and fast-moving team environment.

  • Exceptional organizational and problem-solving skills

  • Ability to work independently as well as with a group

  • Excellent interpersonal and communication skills

Full-time position in our New Hartford office

Starting at $21 per hr based on experience

Office hours are Monday ‒ Friday 8:30 a.m. – 5 p.m. Dependability is critical with possible overtime during busy seasons, (January-April) (September-October) which will include some evenings and Saturdays.
